Things we've learned from helping people plan weddings and parties. Useful whether you use our platform or not.
For a wedding, send Save the Dates 6–8 months out and invitations 8–12 weeks before. For a big birthday or party, 2–3 months' notice is kind. An early heads-up gives guests time to book travel and time off, especially for summer weekends, which fill up fast.
Don't chase menu choices separately — it doubles your admin. Ask guests to pick their meal at the same time they RSVP. One form, one answer, one less thing to worry about. Your caterer will thank you.
A generic "any dietary requirements?" field catches vegetarians but misses life-threatening allergies. Give guests a separate checkbox to flag severe allergies — the chef needs to know the difference between "I prefer no dairy" and "I will go into anaphylaxis".
Give guests a clear deadline (6–8 weeks before a wedding, 1–2 weeks before a party). Then send a friendly nudge to anyone who hasn't replied a week before it passes. Most people aren't being rude — they just forgot, and a gentle reminder usually does the trick.
The Smiths don't need four separate invites. Send one to the household "leader" (usually a parent or one half of a couple) and let them RSVP for everyone. Less email spam, less confusion, less work for you.
Feeling awkward about a gift list? You're not alone. "No gifts please, just come and celebrate" is a perfectly valid stance. If you do want to mention gifts, a short warm message beats a blunt registry link. Keep it human.
